Executive Assistant
McLean, VA (hybrid) $85K-$90K + bonus

A typical week will include:

  • Collaborating with the executive leadership team and global business units
  • Planning and executing complex, detailed domestic and international travel itineraries including all transportation, hotel accommodations, flights/trains and obtain all necessary travel documents
  • Managing complex calendars with independent decision making based on priorities, requiring forward thinking and strategizing as well as comfort in scheduling within various time zones
  • Planning and coordinating internal meetings including reserving meeting rooms, catering, and guest arrival arrangements
  • Planning and coordinating external meetings including hotel blocks, group transportation, property search, costs analysis, sending meeting invites, making food arrangements, etc.
  • Processing visas and passport renewals
  • Managing and preparing expenses and submitting reports in Concur
  • Processing and updating purchase order requests in Ariba and setting up new vendors
  • Interfacing professionally with leadership, internal staff, clients, key stakeholders and high-profile individuals.
  • Undertaking all assigned and ad hoc projects as requested.
  • Taking initiative to identify and undertake opportunities that add value to the efficient operation of the team.

A typical week will include:

  • Coordinating with candidates throughout the hiring process
  • Creating, editing, and extending offer letters
  • Initiating background checks and drug screens 
  • Ensuring the successful on-boarding of new hires 
  • Supporting ad hoc projects and assignments as needed
  • Learning from various segments of the talent acquisition team to gain experience from experts
  • Providing support to large team of recruiters
  • Coordinating interviews and completing expense reports for travel reimbursements
  • Troubleshooting various IT related issues
  • Assisting candidates throughout the hiring process by verifying applicant information
  • Scheduling phone, in-person, video, and travel interviews

Executive/Personal Assistant
Bethesda, MD (Hybrid)|  $80-$100K

Our client is a fast-growing investment firm that builds strong and sustainable companies. This newly- created role supports their trailblazing Founder with business and personal matters to contribute to the smooth and efficient operation of the business.

A typical week will include:

  • Running personal and professional-related errands throughout the day, exercising attention to detail, discretion and thoughtfulness around making decisions
  • Booking restaurant reservations, car rentals, and doctor’s appointments with preferences and external factors in mind that anticipate needs and ensure a smooth plan
  • Overseeing special projects including internal and external event coordination and client gifts
  • Coordinating and launching Zoom, phone and other meetings with professionalism and care
  • Executing travel logistics for personal and professional trips, securing flights, hotels and building trip itineraries
  • Completing ad hoc projects assigned by the Office Manager or administrative team
  • Managing and updating CRM data to assist with holiday gift/card process
  • Composing emails and correspondence on behalf of Founder 
  • Being “on call” after hours for requests from the Founder (shared with another Executive Assistant)
