Executive Administrator

Reston, VA | $150K+

Our client, a Fortune “Top Workplace in the USA” and Forbes “Best Place to Work”, is seeking an Executive Administrator to provide support for their President and CEO. As the Executive Administrator to the President and CEO, you will act as an ambassador by interacting with diverse audiences, including direct reports, external constituents, and the Board of Directors. Duties in this role are highly confidential and require comprehensive knowledge of the organization’s policies and operations.

A typical week will include:

  • Maintaining information pipelines, including the daily processing of mail, phone calls, meetings, maintaining files and e-mail
  • Preparing/editing PowerPoint, Excel, and Word documents
  • Creating, maintaining, updating, and reconciling spreadsheets to support reporting and analysis
  • Organizing workflow by reviewing correspondence and determining importance before distributing to executives
  • Initiating process improvements related to administrative responsibilities
  • Making complex travel arrangements and creating travel itinerary portfolios, processing travel expense reports
  • Coordinating the timely communication of requests, issues, and action items to the appropriate team member(s) in the CEO and President’s absence
  • Preparing the CEO’s daily schedule and President’s meetings, agendas, and priorities, ensuring smooth day-to-day engagements, including initiating and communicating meetings on behalf of the CEO and President
  • Serving in a liaison role to the Board of Directors if needed, as well as taking responsibility for providing direction to and/or coordinating with other administrative staff
  • Working on highly confidential matters and applying considerable discretion
  • Preparing weekly meeting materials, memos, travel arrangements, expense reports, and check requests
  • Planning large- and small-scale events
