Team Administrator
Washington, DC | $80K-$85K
Our client is a global leader in natural resources with a DC office that centers around international relations and public policy. This mission-driven company is focused on building a cleaner world and their high-performing DC team relies heavily on this role for a smooth operation.
A typical week will include:
Managing the ever-changing and complex calendars of the global affairs team including international travel coordination and logistics.
Thoughtfully anticipating and managing the administrative needs of the Washington office, the global team, and other team members as required
Managing and working with legal staff on submitting monthly, quarterly, and annual lobbying disclosures to Congress
Coordinating travel arrangements and scheduling meetings across global time zones
Helping to organize team activities as well as assessing and prioritizing daily tasks and managing long-term responsibilities
Working with the head of the office to manage and prioritize weekly workflow, meetings, pending decisions, calendars, messages, and incoming materials for review
Assisting with proofreading and editing briefing materials and presentations
Managing monthly expense reports and processing purchase orders, invoices, and vendor information within deadlines
Supporting executive level meetings in Washington DC with meeting planning, travel arrangements, catering, and other logistical needs
Communicating effectively on behalf of the team to outside vendors and business partners
Handling confidential, sensitive, and nonroutine information and matters with discretion, confidentiality, and integrity
Managing the Washington office facility and logistical needs by coordinating with the building owners, addressing maintenance requirements and manage supporting service vendors
Taking on special projects and additional duties as assigned

This may be right for you if:
You have 3+ years of experience managing calendars for busy executives and planning complex international travel itineraries
You are a go-getter with an optimistic outlook and positive attitude
You have an interest in learning and contributing to projects–large or small
You have interest, education, or experience in political science and/or government affairs
You have thorough knowledge of Microsoft Word, Excel, SAP, Concur and Outlook
You possess strong written and verbal communication skills
You are a self-starter who takes initiative and can work autonomously but knows when to ask for guidance
You have excellent interpersonal skills and the ability to remain calm under pressure and meet a heavy workload
You can plan, set priorities, and stay organized
You are able to produce and implement consistent systems for keeping track of overflow of information
You have a high school diploma or a BA–preferred, but not required
